Pay Period Auto-Generation

Plantrunner automatically generates new pay periods based on your configured schedules. This ensures employees always have an open pay period to log their time against.

How it works

A scheduled job runs periodically and:

  1. Checks all active pay period schedules
  2. Determines if a new period needs to be created based on the current date
  3. Creates new pay periods with status Open

Pay periods are generated up to the current date. Future periods are not created in advance.

Auto-close

Pay periods can be configured to automatically close after a set number of days past their end date. This prevents employees from logging time to old periods.

Configuring auto-close

When creating or editing a pay period schedule, set the Auto-close after days option (0-180 days). Setting this to 0 disables auto-close.

For example, if set to 3 days:

  • A pay period ending on Friday would auto-close on the following Monday
  • Employees have a 3-day grace period to submit any remaining time

What happens when a period auto-closes

  • Status changes from Open to Closed
  • Employees can no longer add new timesheet entries
  • Existing pending entries remain and can still be approved or rejected by admins

Manual creation

You can also create pay periods manually if needed. Navigate to Pay Periods and create a new period with your desired start and end dates.

Manual closing

To close a pay period manually, all pending timesheet entries must first be approved or rejected. This ensures no timesheet entries are left in an unresolved state.
