User Management

This page covers administrative tasks for managing your team beyond the basics covered in Employee Management.

Inviting employees

Click Invite Employee on the Employees page to send email invitations to new team members. They create their own accounts and are automatically linked to your company. See Adding Employees.

Managing roles

Assign or change roles from an employee's edit form. See Roles for available roles and what they can do.

Bulk role changes

When changing plans, role adjustments may happen automatically:

  • Upgrading to Growth -- You can now assign scoped admin roles
  • Downgrading from Growth -- Scoped admin roles are automatically removed

Email verification

Employees must verify their email address to complete account setup. If an employee hasn't verified:

  • Plantrunner sends reminder emails automatically
  • You can resend the invitation from their profile

Terminating employees

To remove an employee's access:

  1. Select the employee(s) on the Employees page
  2. Click Terminate in the bulk actions
  3. Confirm the action

The termination date is set to today and the employee can no longer sign in. Their historical data (service visits, timesheets, etc.) is preserved.

Reactivating employees

Terminated employees can be reactivated:

  1. Filter the Employees page to show terminated employees
  2. Select the employee(s) to reactivate
  3. Click Reactivate in the bulk actions
  4. Confirm the action

This removes the termination date and restores their access.

Availability

Each employee has an availability setting that specifies which days of the week they work (default: Monday-Friday). This is informational and helps when planning routes and schedules. Edit availability from the employee's edit form under Availability.
