One-off Visits

One-off visits are single scheduled service appointments. Use them for plant replacements, extra service calls, missed visits, inspections, installations, or other work that should happen once instead of becoming part of a recurring route.

Plantrunner stores one-off visits as routes with a one-off schedule. This keeps assignment, map, route detail, and service visit behavior consistent without adding a separate scheduling object.

Schedule a one-off visit​

  1. Go to Calendar in the sidebar
  2. Click Schedule visit
  3. Choose the Service date
  4. Select the Customer location
  5. Optionally select an Assigned employee
  6. Optionally enter a Visit name
  7. Click Schedule visit

If you leave the visit name blank, Plantrunner generates one from the customer and location.

Customer location requirements​

The selected customer location must have map coordinates. Locations usually get coordinates when their address is selected from address search.

If no locations are available in the one-off form, check that the customer location has a valid address and coordinates.

Dates​

One-off visits cannot be scheduled in the past. Dates follow the company's timezone from Company Settings.

Assignments​

Assigning an employee works the same way it does for recurring routes:

  • The one-off visit appears for the assigned employee
  • Assignment notifications are sent when applicable
  • You can leave the visit unassigned and assign someone later

Where one-off visits appear​

One-off visits appear in:

  • The Operational Calendar on the scheduled date
  • The Routes list with a One-off badge
  • Daily and weekly route views for the scheduled date
  • The route detail page

One-off visits do not appear in recurring route compatibility checks because they are not part of the normal service rotation.

Edit or reschedule a one-off visit​

Open the one-off route from the calendar or Routes page, then edit the route.

You can change:

  • Visit name
  • Service date
  • Assigned employee
  • Customer location
  • Active status

The route edit summary recalculates service time and total duration as you change the visit details.

Best practices​

  • Use a clear visit name when the reason matters, such as "Atrium replacement" or "Install follow-up".
  • Assign an employee before the service date when possible.
  • Keep one-off visits active until the visit is no longer needed or has been serviced.
  • Use the calendar filters to confirm that a one-off visit appears for the right employee and customer.
