Data Import

Data import helps admins bring existing spreadsheet data into Plantrunner without creating every record by hand. The importer supports customers, customer locations, and plant inventory.

Where to start​

Users who can create customers can open the importer from:

  • The Import CSV button on the Customers page
  • The onboarding checklist's Import Customers shortcut

The import tool is intentionally not a permanent sidebar item. Most companies only need it during setup or when migrating a batch of records.

Supported file type​

Plantrunner imports CSV files.

If your data is in Excel, Google Sheets, or Numbers:

  1. Download the Plantrunner template
  2. Open it in your spreadsheet app
  3. Fill in one record per row
  4. Keep the header row unchanged
  5. Export or download the finished spreadsheet as a CSV file
  6. Upload the CSV file to Plantrunner

Excel files such as .xlsx are not supported yet. Export the finished spreadsheet as .csv before uploading.

Import order​

Import records in this order:

  1. Customers
  2. Locations
  3. Plants

Locations must match existing customers, and plants must match existing customer locations. Importing in order lets Plantrunner connect the records correctly.

Download templates​

Select the data type, then click Download template. Each template includes the required header row and one example row.

Validate before importing​

When you upload a CSV, Plantrunner shows a preview before creating records. The preview highlights:

  • Rows ready to import
  • Rows that need attention
  • Warnings, such as addresses that will be geocoded during import

Fix any blocking errors in your spreadsheet, export a new CSV, and upload it again.

Limits​

  • Maximum file size: 5 MB
  • Maximum rows: 2,000
  • One record per row

Customer import fields​

Customer imports can include:

  • Customer name
  • Contact name
  • Contact email
  • Phone number
  • Mailing address
  • Start date
  • End date
  • Notes

Location import fields​

Location imports can include:

  • Customer name or customer email
  • Location name
  • Formatted address
  • Latitude and longitude
  • Primary location flag
  • Service day
  • Service frequency
  • Estimated service duration
  • Week pattern
  • Access, parking, delivery, and water source instructions

If latitude and longitude are omitted, Plantrunner attempts to geocode the address during import.

Plant import fields​

Plant imports can include:

  • Customer name or customer email
  • Location name
  • Plant name
  • Plant type
  • Species
  • Quantity
  • Placement
  • Container type
  • Health status
  • Installation date
  • Active flag
  • Notes

Plant type names are matched against the plant type catalog when possible.
